PURPOSE AND OBJECTIVES
Provide administrative support for the hiring manager. Due to the nature of this role, this individual is expected to interact with senior management inside and outside SAP as a regular part of his/her job. This individual is expected to have a high attention to detail, superb organizational skills, ability to multi-task significantly and work well under pressure.

EXPECTATIONS AND TASKS
* Manage diary/calendar and prioritize / action e-mails for the manager(s) on his/her behalf and during absence; covering and proactively handle urgent requests, emails, voicemails etc.
* Administrative support including meeting coordination (set up meetings, conference calls, create agenda, take minutes and track action items)
* Co-ordinate travel arrangements for managers only and for team in special cases incl. visa
* Create and revise presentations
* Monitor the coordination of purchase orders for the team - travel, training, events, business cards etc; cost controlling within all areas of responsibility, i.e. travel, IT, office materials etc.
* Support manager(s) with regards to communication tasks, such as team information/newsletter etc.
* Keep manage/team up to date in terms of SAP's policies and processes; admin support for new starters into the team to include ordering of equipment and monitoring a smooth and successful introduction
* Update Corporate Portal content, team distribution lists and other relevant distribution lists and maintain access to shared folders
* Support managers and team with necessary authorizations/access rights to relevant applications/reports/tools
* Be discrete and have an understanding of how confidential/sensitive situations information should be handled

WORK EXPERIENCE
* First experience as an Team Assistant

EDUCATION AND QUALIFICATIONS/SKILLS AND COMPETENCIES
* Outstanding MS Office skills (Outlook, Word, PowerPoint, Excel)
* Strong English & German Skills due to an international team
* Knowledge of internal SAP Systems beneficial (ISP, CSN, Corporate Portal)
* Excellent organizing skills, e.g. have the ability to prioritize tasks
* Motivated to work in an international and intercultural environment
* Excellent communicational skills; team player
* You keep a clear head even in turbulent situations; your way of working is very structured,
* Self-directed and organized
* A pragmatic problem solver with sound diplomatic and organization skills
* Ability to communicate with all levels of Management internally & externally
